Your privacy is important to us. This policy explains how Ridlers Coaches collects, uses and protects your personal data in accordance with the General Data Protection Regulation and the Data Protection Act 2018.

Who are we

Ridlers Limited are a company registered in England and Wales with company number 04520830. We carry out a range of commercial trading activities including private coach hire, service transportation and day trips. In this policy, whenever you see the words 'we', 'us', or 'our', we are referring to Ridlers Coaches, which is the trading name of Ridlers Ltd.

Our statement

Your privacy is important to us. It is our policy to respect your privacy and comply with any applicable law and regulation regarding any personal information we may collect about you, including across our website. We are classed as a 'controller' of data under the General Data Protection Regulation and the Data Protection Act 2018. We collect data on our staff, suppliers, and also from people who use or enquire about our various services. At Ridlers we aim to conduct and use a system which keeps all data safe and secure at all times. Unfortunately it is not always possible for any system to be completely faultless. In such situations we have procedures in place that allow us to fully and deeply investigate any such occurrences. We ask you to read this policy carefully to make sure that you stay informed and so that you can be confident about giving us your information.

Who does this policy apply to?

This policy applies to you if we obtain your personal data. This includes: individuals who make a booking or enquire about our travel services through us; individuals in respect of whom an enquiry or booking is made on their behalf (such as friends, family, children, special interest group members, sports or tour group members, employees and officers of businesses and organisations); individuals or employees who are acting as representatives of our customers that are organisations or businesses; our employees (if you work, or have worked, with us or for us) including prospective employees; those who visit us at our premises or who travel on our vehicles; other road users or pedestrians who are captured by our onboard CCTV systems. Our internet site may use cookies to improve our website and help improve its performance.

What data do we collect?

The data we collect will vary depending upon, for example, whether you are a customer or a service provider. We will only collect data that is relevant to the matter or matters that we are dealing with. The data is likely to include: personal details such as home address, email address, home and mobile numbers. Cookies are used within our website to track visits to our website — by monitoring this it allows us to operate our website in a way which runs at its most efficient. Personal details are collected via the forms available on our website. If you have used any of our services we hold data from yourselves. Our vehicles are fitted with both outward and inward facing CCTV cameras — these do not record audio.

Purpose of data

We use your data: to communicate with you; to promote our services (e.g. day trip programme — you may withdraw your consent at any time); to provide you with ground transportation; to create records of bookings and to send you booking acknowledgments, confirmations, receipts and invoices; to maintain records of lost property; to maintain our records of bookings, contracts, contacts and accounts; to recruit and train employees; to improve the service provided through our website. We may use information gathering systems such as Google Analytics to develop our internet profile.

Data retention

We will store your data securely and it will only be kept until we no longer have a legitimate use for it, due to a business need or legal requirement. When there is no longer a legitimate business use for your personal data, it will be deleted.

Data security

Data may be transferred to a country outside the European Economic Area, due to systems being stored in the cloud. Although we will do our best to protect the personal information you provide, we would advise that no electronic communication is completely secure.

Data sharing

Employees may have access to information to enable them to fulfil the contract — any information shared will be the minimum necessary for this. We may need to supply information to suppliers (e.g. ferry companies) to fulfil the contract. We will provide information as legally required, to comply with regulations or other lawful request. Your data will not be sold to, or shared with, third parties for their marketing purposes. Your information may be shared with third parties should the business or assets be sold, in which case we will disclose your data to the prospective buyer.

Your rights

You have the right to view, remove and change any information we hold about you. We will need to verify your identity in order to provide you with details of the personal data held about you. For us to be able to release any information you will need to request this in writing alongside your proof of identity. The majority of requests are processed free of charge and within a 30-day time period. Ridlers reserve the right to charge an administration fee and to extend the period of time by up to a further 2 months if the request is deemed to be complex, unfounded or vexatious. We reserve the right to suspend the above-mentioned rights in a position in which acting upon the request would adversely affect related individuals' or companies' intellectual property or trade, where there is an overriding public interest, or topics in which we are required by law to retain your personal data. Should the personal information held contain any inaccuracies, please put your request in writing detailing both the error and the correction — we will aim to correct it as soon as possible. Should you have a legitimate reason to request that we erase the data we hold, please put your request in writing to us. We will then review the data held and advise you of the reason why it should still be retained or confirm the deletion of the data.

If we need to update this policy (for example because a change in the law requires us to do so) we will publish the new version on our website.
